Ask ten beekeepers what they wrote in their hive notes last April and nine will shrug. The notes exist — scrawled on a hive lid in Sharpie, typed into a phone at 2 pm with sticky gloves, buried in a spiral notebook in the truck — but nobody goes back to them. That is the real failure of record keeping. Not the writing. The reading.
A good inspection record has one job: to let future-you spot a trend that present-you cannot see. A queen who is slowing down looks fine on any single Saturday. She looks obvious across five inspections. Mite loads that double every 21 days look survivable in June and lethal in September. The whole point of writing things down is to convert a series of ordinary afternoons into a signal.
Why Most Hive Notes Fail
The typical note reads something like: “Hive 3, looks good, saw queen, added super.” That sentence contains almost no recoverable information. “Looks good” compared to what? How many frames of brood? Was the super added because the box was 80% full or because you had one in the truck?
Three failure modes account for nearly all useless records:
- Prose instead of numbers — “lots of bees” cannot be compared to next month’s “plenty of bees.” Seven frames of bees can be compared to nine.
- Recording only anomalies — if you write notes only when something is wrong, you have no baseline. Normal inspections are what make abnormal ones legible.
- No review ritual — data with no scheduled read-back is a diary, not a management tool. If you never open the records except to look up a treatment date, you are keeping a receipt file.
The test of a hive note is whether a beekeeper who has never seen the colony could read six months of entries and correctly predict what it needs next week.
The Six Fields That Carry Most of the Signal
You can record forty things per hive. You will not, not in July with three yards to cover before dark. So record the six that actually forecast outcomes, and record them every single time, even when nothing is happening.
- Frames of bees — count the seams of bees between frames, not the frames themselves. A deep with bees filling eight seams is an 8. This is your single best proxy for colony strength and it takes ten seconds with the boxes cracked apart.
- Frames of brood (open and capped, separately) — a frame counts as one if both sides are substantially covered, half if one side. Open brood tells you the queen is laying right now; capped brood tells you what population you get in 12–21 days. Track them apart and you can see a queen failing three weeks before the bee count drops.
- Queen evidence — use a tiered code, not a yes/no: seen / eggs / young larvae / capped only / none. Seeing eggs means she laid within three days. “Capped only” means she may have stopped ten days ago.
- Stores — frames of honey and frames of pollen, counted the same way. In fall this becomes your overwintering math; a standard 10-frame deep holds roughly 5–7 lb of honey per full frame.
- Temperament and behavior — rate 1–5 on a fixed scale. A colony that jumps from 2 to 4 across two inspections is often queenless or has superseded to a hotter genetic line.
- Space status — what percentage of the top box is drawn and occupied. This drives supering decisions and swarm risk more reliably than calendar dates.
Six fields, maybe 45 seconds of recording per hive once the habit sets. Everything else — mite counts, treatments, feeding, queen introductions — is an event log, recorded when it happens rather than every visit.
Record at the Hive, Not at the Truck
Memory decay for inspection details is brutal. Walk three hives before writing and you will merge them. The frame counts blur, the queen sighting migrates to the wrong colony, and the note you write is a reconstruction rather than an observation.
Practical approaches that survive contact with propolis and gloves:
- Voice memo per hive — speak the numbers as you pull frames, transcribe later. Fast, but you pay the transcription tax and it rarely gets paid.
- Phone in a zip bag — a sandwich bag over the phone lets you tap through a form with sticky gloves. Ugly, works.

- Chalk on the lid, transcribe same day — legitimate for large operations doing rapid triage. Set a hard rule: transcribed before the truck leaves the yard.
Whatever the medium, the non-negotiable is capture at the colony. A perfect system used at the kitchen table produces worse data than a mediocre system used at the hive.
If you cannot record it in under a minute with gloves on, you will stop doing it by mid-June. Design the system for your worst day, not your best one.
Turning Entries Into Trends
Here is where record keeping stops being bookkeeping. The value is in the deltas, not the snapshots.
A few trend reads worth running:
- Brood ratio drift — open brood divided by capped brood should sit near 1:2 in a building colony. When it slides toward 1:4 or worse, the queen has slowed. Two consecutive inspections trending down is your requeening signal, not a single bad frame.
- Population versus yard average — a hive at 6 frames of bees means nothing alone. A hive at 6 when the yard averages 11 is a problem colony. Compare across the yard on the same date.
- Weight or stores curve in fall — plot frames of honey across September and October. A flat or declining curve after the flow ends means robbing, dearth, or excess consumption from a broodless-but-hot colony.
- Mite count doubling time — alcohol wash results logged with dates let you compute the trajectory. Going from 1 per 100 in June to 4 per 100 in August is a different emergency than 1 to 2.
- Temperament shifts — a persistent one-point rise, with no weather or dearth explanation, frequently precedes discovery of a supersedure queen.

The Event Log: Things You Log Once and Need Forever
Separate from per-inspection data, keep an event log per colony. These are the entries you will need at exactly the moment you cannot remember them.
- Treatments — product, active ingredient, dose, date applied, date removed, ambient temperature, and supers-on status. Amitraz strips left in past label duration breed resistance; oxalic dribble repeated more than three times in a season damages open brood. Dates matter legally too if you sell honey.
- Queen events — introduction date, source, marking color, breed, and whether she was released or direct-introduced. A queen’s second season is where most supersedure happens; you cannot anticipate it without her install date.
- Feeding — syrup ratio, gallons, and dates. Fall feeding logs answer the spring question “is this honey or is this sugar?” before you extract.
- Splits and combines — parent colony, date, method. Genetics tracking becomes possible only if you record lineage.
- Comb age — date each frame or box goes into service. Rotation schedules are unenforceable without it.
The event log is short — maybe fifteen entries per colony per year — but it carries disproportionate weight. It is also the part most beekeepers reconstruct from memory and get wrong.
Hive Identity and Naming That Survives Equipment Shuffling
A subtle problem: records attach to a colony, but beekeepers label boxes. Move a colony into fresh equipment and the paper trail snaps.
Fix it by making identity independent of woodenware. Assign each colony a permanent ID at establishment — the year plus a sequence, like 26-04 — and carry that ID with the bees, not the box. Mark it on the bottom board or a small aluminum tag that moves during transfers. When a colony is combined out or dies, retire the ID rather than recycling it; reusing IDs is how two years of data get silently merged.
Yard-level identity matters too. Record the yard on every inspection so you can compare across locations. Two yards nine miles apart can be a full three weeks offset in flow timing, and yard-level trend data is what tells you whether a site is worth keeping. Building the Review Habit
Records only pay when you read them. Three review points cover most of the value:
- Before you open the hive — ten seconds reading last visit’s entry changes what you look for. If last time showed capped brood only, you go in specifically hunting for eggs, not doing a general inspection.
- End of month, whole yard — sort colonies by frames of bees and look at the bottom third. Those are your intervention candidates. This is a fifteen-minute exercise that regularly saves two or three colonies a season.
- End of season, whole operation — look at which colonies overwintered, and read backwards to find what their August records had in common. This is how you build local knowledge that no book can give you: your bees, your forage, your winter.

A Realistic Starting Template
If you are starting from nothing, do not build the perfect system. Build one you will still be using in August. Start with this:
- Assign permanent IDs to every colony this week.
- Record six fields per inspection: frames of bees, open brood, capped brood, queen evidence tier, honey frames, temperament 1–5.
- Log events as they happen: treatments, feeding, queen changes, splits.
- Read the previous entry before opening each hive.
- Once a month, sort the yard by strength and act on the bottom third.
That is the whole system. Five habits, under a minute per hive, and it will outperform an elaborate spreadsheet that gets abandoned in May.
Record keeping has a bad reputation because it is usually taught as an obligation — something responsible beekeepers do, like flossing. It is not. It is the only mechanism you have for seeing slow changes, and nearly every colony loss is a slow change that went unnoticed. Six numbers, written at the hive, read before the next visit. That is the difference between keeping records and keeping bees.
